Here are the steps to share files externally with users in Microsoft 365:
Sign in to Microsoft 365:
Go to office.com and sign in with your Microsoft 365 credentials.
Access the Admin Center:
Click on the Admin button to go to the Microsoft 365 admin center.
Select Show all and then choose SharePoint or OneDrive admin center.
Configure External Sharing Settings:
In the SharePoint or OneDrive admin center, go to the Policies section and click on Sharing.
Adjust the external sharing settings to the desired level (e.g., Anyone, New and existing guests, or Specific people).
Click Save to apply the changes.
Share a File or Folder:
Navigate to the document library or folder you want to share.
Select the file or folder and click the Share button.
In the sharing settings, choose Specific people and enter the email address of the external user.
Set the permissions (e.g., Can edit or Can view), and optionally, set an expiration date or password.
Click Send or Copy link to share the content.
Manage Access:
You can manage access to shared files or folders by selecting the item, clicking Details, and then Manage access.
Here, you can stop sharing, change permissions, or remove access for specific users.
